RoboRegistrar Management
Use the RoboRegistrar Management menu selection to manage the RoboRegistrar connection with your SIS and display important information regarding your institution's current processing status.
Note: you may also access the RoboRegistrar Management screen by clicking on the RoboRegistrar icon available via the Vertical Ellipsis. You must be an authorized user to access the RoboRegistrar Management screen.
Authorized RSS users can:
- View RoboRegistrar’s current status
- Log RoboRegistrar off of your SIS
- Do NOT log off unless explicitly instructed to do so
- Start & stop printing at your institution
- Easily switch to other working queues
- Turn rush processing on/off, when applicable
- View batches, when applicable
- Turn express shipping on/off, when applicable
This video will walk you through RoboRegistrar Management. RoboRegistrar Management can be used to view the status of RoboRegistrar and manage transcript printing in your office.
RoboRegistrar’s Icons
Four different icons and associated statuses exist.
RoboRegistrar Icon | RoboRegistrar Icon Description |
---|---|
Running; RoboRegistrar is running normally and has communicated with Parchment within the last five minutes. | |
Not Running; RoboRegistrar is not connecting to your SIS and is not processing orders. | |
Trouble; RoboRegistrar is not running, most likely due to an unexpected result or error on an order. | |
Scheduled Down; RoboRegistrar is not running based on an institution's preferred default up and down time, and/or scheduled upgrade or SIS system maintenance. |

If your institution chooses to offer Rush Processing, the Rush Options area displays whether rush processing is available to requestors on your TranscriptsPlus order form.
Turn On/Turn Off Rush Processing
To turn rush processing at your institution either on or off, take the following steps:
- Click the RoboRegistrar Management menu selection
- From the Rush Options area, enter the Date Off and Date On information, respectively
- Click the Update button
- Changes will take effect at midnight (CT) the date indicated
If your institution chooses to offer expedited shipping, the Express Shipping Options area displays whether expedited shipping is available to requestors on your TranscriptsPlus order form.
Note: if your institution utilizes eRoboMail you will not see this option since Parchment will be printing and mailing your transcripts for you, even when you are not in the office!
Turn On/Turn Off Express Shipping
To turn expedited shipping at your institution either on or off, take the following steps:
- Click the RoboRegistrar Management menu selection
- From the Express Shipping Options area, enter the Date Off and Date On information, respectively
- Click the Update button
- Changes will take effect at midnight (CT) the date indicated
If your institution processes transcript orders in batches, the RoboRegistrar Print Queue Information area displays batch information. This screen defaults to the most recent batches; however, you can search for previous batches using the Search/Find button.
Batches can be configured to close automatically by RoboRegistrar when they reach a specified quantity of orders. Additionally, batches can be manually closed by an RSS user. Any batches that remain open will be closed at midnight CT by RoboRegistrar.
The table provides the batch information, including the date the batch was opened, the time the batch closed, the batch type, status, quantity, print status, etc.
Working with Batches
Use the Show link to display all orders in the batch, as well as additional batch information, including order numbers, number of copies, student names, request IDs, etc.
When necessary, you can regenerate using the Regen button. This will add the transcripts to your SIS to be printed again.
Use the More (+ / -) link to view batch information. It's imperative to indicate you’ve printed a batch, both for internal offices communication and reporting capabilities.
