Order Detail Screen

 

Click on any order in the Pending Orders table to be brought to the Order Detail screen. This screen provides information regarding order specific details and requirements. You'll use the Order Detail screen to take action on an order.

 

The Order Detail page contains four tabs. They are:

  1. Order Info*
  2. Delivery Info
  3. Order History
  4. Comments / Problems

*Order Info is the default. Please see each tab's corresponding section for more information.

 

 
 

Order Detail Icons & Buttons Key

 

IconIcon Description
Back to List; click here to return to the previous working queue. Always use Back to List when on Order Detail screen to release the User ID from an order.
Cancel Order; click here to cancel the order; requestor will not be charged.
Robo Screens; click here to view data RoboRegistrar returned from your institution’s Student Information System.
Update; click here to save and apply your changes to an order.
Add a Comment; to make a notation on an order. See the Glossary for more information on Comments.
Add a Problem; to add a problem to the order and move it to the Problem Orders queue. See the Glossary for more information on Problems.
Edit icon; click here to edit information on the Order Detail screen.
Process Change; click here to save your changes after updating an order’s send information.
Green check indicator; the required action has occurred.
Red X indicator; the required action has NOT taken place.
Eye icon; click here to display the full Social Security number within the Student Information area of the Order Detail screen. Individual security permissions apply.
Un-Approve Order; located in the Ready Orders queue; click here to undo the approval status on an order.

Finish with RoboRegistrar; located in the Ready Orders queue; click here to complete an order with RoboRegistrar.

 

Use this option from the Online & Partial location queues so that RoboRegistrar can add the request to print to institution’s SIS

Finish Transcript—Manually check box; located in the Ready Orders queue; check here to manually complete an order; used in concert with the Process Order button.
Print Insert(s) – RoboRegistrar check box; located in the Ready Orders queue; check here to print inserts associated with an order
Process Order; located in the Ready Orders queue; click here (after checking applicable boxes) to manually complete an order.
Resend; click here to resend the Authorization Form to the requestor's email.
Print; click here to open and print Authorization Form.
Release; appears on the Order Detail screen from the Held Orders queue; click here to release an order from a held status.
I have received the attachment; click here to indicate that an attachment has been received and remove the attachment upload requirement from the order
PDF; click here to generate a PDF report of all orders in current queue.
CSV; click here to generate a CSV report of all orders in current queue.

Approve Selected & Complete Selected checkboxes; these checkboxes are displayed in the first column in the Pending Orders and Ready Orders queues, when applicable.

 

Use these checkboxes to approve and complete multiple orders at the same time, when applicable. 

Approve Selected; located in Pending Orders queue; click here to approve all checked order(s).
Location drop-down; located in Pending Orders queue; click here to choose location of student's records.
Review Transcript; located in Ready Orders queue; click this button to review transcripts. This will only be required when multiple files were sent through eSS for the same order.   
Enable for Edit icon; appears on the Order Detail screen in the Update Student Information modal. Click here to edit or remove a student's SSN.
Convert to University Print; appears on the Order Info screen under the Order Actions tab. Click this button to change all transcripts on the order to be printed at your school.  
Resend Transcript; appears on the Delivery Info screen under the recipient delivery address when the transcript is eligible for resend. 
Resend Request Pending;appears on the Delivery Info screen under the recipient delivery address when a resend request has been submitted and is in the Resend Requests queue pending approval. Clicking this link will take users to the Resend Requests screen.
Max Resend Requests Reached; appears on the Delivery Info screen under the recipient delivery address once resend request has been submitted 3 times.
Not Eligible for Resend; appears on the Delivery Info screen under the recipient delivery address when the transcript is not eligible for resend.

 

The Robo Screens, Finish with RoboRegistrar, & Print Insert(s) - RoboRegistrar options are only available if your institution utilizes RoboRegistrar.
